Department: Human Resources Position: HR Assistant Reports To: HR Manager / HR Executive Location: Chandan Retail Pvt. Ltd. Job Summary The HR Assistant will support the HR Department in day-to-day HR operations, documentation, administration, employee onboarding, compliance activities, employee engagement, and training & development programs. The role requires good coordination, communication, record-keeping, and organizational skills. Key Responsibilities 1. HR Documentation & Record Management  Maintain and update employee records, personal files, attendance and HR documentation.  Prepare and organize HR letters, forms, reports and other documents.  Ensure proper filing and confidentiality of employee information.  Assist in maintaining HR trackers and databases. 2. Recruitment, Joining & Onboarding  Assist in the joining formalities of new employees.  Collect and verify required joining documents and KYC details.  Coordinate offer/appointment letters, employee forms and other joining documentation.  Coordinate employee induction and orientation programs.  Ensure new employees are properly introduced to company policies, departments and reporting structures.  Coordinate with concerned departments for smooth onboarding and allocation of required resources. 3. HR Administration  Assist in day-to-day administrative activities of the HR Department.  Coordinate with employees and department heads regarding HR-related requirements.  Assist in attendance, leave and other employee-related records.  Prepare routine HR reports and MIS as required. 4. Compliance Support  Assist the HR team in statutory compliance-related documentation and records.  Support activities related to PF, ESIC, labour law documentation and other applicable compliances.  Maintain compliance records and assist in preparing documents required for inspections, audits and submissions.  Coordinate with relevant departments/agencies whenever required for compliance-related matters. 5. Employee Engagement  Assist in planning and initiating employee engagement activities and events.  Coordinate employee engagement programs, celebrations, competitions, welfare activities and employee recognition initiatives.  Collect employee feedback and assist in improving employee engagement initiatives.  Maintain records and reports of engagement activities. 6. Training & Development  Assist in identifying and coordinating employee training requirements.  Coordinate training schedules, trainers, venues and employee participation.  Maintain training attendance, feedback forms and training records.  Assist in organizing induction, skill development and other employee development programs.  Follow up with departments regarding completion and effectiveness of training programs. 7. General HR Support  Provide administrative and coordination support to the HR Manager/HR Executive.  Handle employee queries and direct them to the appropriate HR personnel when required.  Assist in HR projects, surveys, audits and other departmental initiatives.  Maintain professionalism and confidentiality while handling employee information. Required Skills & Qualifications  Graduate in HR, Business Administration, Management or a related field.  0–2 years of experience in HR/Admin preferred; freshers with good communication and organizational skills may also apply.  Good communication and interpersonal skills.  Basic knowledge of MS Excel, Word and other office applications.  Good documentation and record-keeping skills.  Ability to coordinate with employees and different departments.  Strong organizational skills and attention to detail.  Ability to maintain confidentiality and handle sensitive employee information. Key Performance Areas (KPIs)  Accuracy and timely completion of HR documentation.  Smooth and timely joining & onboarding of employees.  Proper maintenance of employee records.  Timely support in compliance activities.  Effective coordination of employee engagement programs.  Timely execution and documentation of training programs.  Responsiveness to employee and departmental HR requirements.
